Girls Leadership equips girls with the skills to exercise the power of their voice. We work with girls, parents, caregivers, educators and coaches to ensure lasting impact by teaching the practices of assertive self-expression and strengthening emotional intelligence.

Girls Leadership was founded in 2001 by bestselling author and girl-expert Rachel Simmons and educator Simone Marean. Together, they created a critically acclaimed program and curriculum that delivers workshops, a residential summer program, day camps and teacher training. We are growing rapidly, driven by a three-year strategic plan to expand our work across lines of difference, such as race and class, to impact as many girls as possible. We are seeking an experienced Operations and Technology Manager to join our team.

 

Responsibilities

Program Administration

  • Draft program contracts, manage alteration requests, and contract addenda for programs in each of our four regions: California, Colorado, New Jersey, and New York
  • Obtain insurance certificates for program locations, event venues and training sites
  • Manage program and event calendaring
  • Manage Educator training logistics: evaluate eligibility to attend, award scholarships, liaise with site contact to arrange catering and event setup, research local hotels and courtesy rates, and prepare & ship program supplies
  • Support administrative tasks as needed when Administrative Associate joins summer program staff during the summer, including customer service, program supplies, and program scholarships
  • Support summer program application process for financial aid families; act as point of contact for all summer program customer service inquiries relating to accounts and payments

 

Operations

  • Manage Girls Leadership HQ operations, including maintaining office supplies and addressing issues with the physical space by liaising with property manager and maintenance staff as needed
  • Develop, uphold, update, and improve on procedures and policies assigned to Operations Manager; act as point of contact and dissemination of assigned policies through email updates
  • Manage logistics for staff travel, hotel, and restaurant reservations for staff events such as our annual retreat and other events as requested
  • Shepherd vendor management system and nurture vendor relationships; communicate with vendors when issues arise around their services or pricing increases
  • Manage relationship between Girls Leadership and registration system account manager; triage all reported system errors, suggestions, and questions from all staff and present to account manager in order of urgency
  • Design and set-up registration process for Summer Program
  • Lead orientation and training for frequently used technology and systems used for all new hires, and/or as requested by existing staff
  • Set-up technology systems for new hires (gmail addresses, inclusion on email lists, Google Drive, Salesforce and other online platform access etc.)

 

Accounting/Finance

  • Schedule and process Accounts Payable; take weekly deposits to bank
  • Reconcile monthly American Express expenses for review
  • Complete monthly Number Tracking and Regional Snapshots to provide overview of revenue received for programs each month; participate in revenue reconciliation with HR & Accounting Administrator monthly
  • Oversee Summer Program financials, and execute payment processing; follow up with past due accounts until paid
  • Perform bi-weekly payroll reporting for educators

 

Technology/IT

  • Serves as IT point of contact for organization; assists in troubleshooting issues and sending them to IT consultant when necessary
  • Manage technology projects and act as coordinator of technology contractors and volunteers
  • Administers Salesforce database, maintains integrity of data flowing into database, and troubleshoots issues that arise

 

Knowledge & Skills Desired

  • 2+ years experience with Salesforce and other CRM platforms
  • Able to set up technology for virtual meetings (Google Hangouts, Zoom etc.) and tech-savvy with the ability to troubleshoot issues that arise
  • Excellent written and verbal communication skills
  • Fluent in MS Word, Excel and Google Apps, and Mac-friendly
  • Responsible, motivated and flexible, able to work both on a team and as an independent self-starter
  • Enthusiastic attitude and willingness to take initiative and problem-solve
  • Detail-oriented, with a high degree of organization, efficiency, and resourcefulness
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment
  • 2+ years experience as an administrative assistant, client services or project coordinator

 

Reports to: Chief Operating Officer
Compensation: $50,000-$55,000
Length of Engagement: Full time, permanent, exempt position
